Most of Excavation Expert’s per-company knobs live under Settings. This page is a flat reference — each sub-section names what you can set and what it affects.

Owner roles have access to every settings sub-page. Manager and Bookkeeper roles cover most of the configuration; only Owners see the Plan/Billing page and can delete the account. Team Members have Appearance only.

Core info:

  • Name, phone, email, address (auto-geocoded to lat/long), logo (shown on bids and the marketing website).

Locations — your headquarters plus additional yards, offices, and warehouses. Each has phone/gate code fields. HQ is auto-synced from the company address.

Labor Rates (used as defaults in every new bid):

Equipment Types — your custom list (Hauling is protected; can’t be deleted). Drives the Type dropdown on equipment records.

Vendor Trades — the services your vendors can be tagged with. Used in the quote form and bid AI.

Pay Period:

  • Type: weekly / bi-weekly / semi-monthly / monthly.
  • Start date.
  • Cutoff days before period end (how far in advance payroll finalizes).

Business Day Length — hours per business day (default 8). Used as the default hoursPerDay in bid allocations.

Company Days Off — recurring US federal holidays pre-populated, plus custom dates. Calendar blocks these from normal scheduling.

Customize what shows up on the bid PDF and in the customer-facing document:

  • Header — custom text, include company logo toggle.
  • Terms & Conditions — rich-text template.
  • Bid validity period — days the quote stays valid.
  • Cost display — toggle whether detailed line-item cost breakdowns appear in the PDF.
  • Payment Structurefull upfront / milestone-based / progress-based.
  • Milestones — named payment phases with percentage and due event (contract sign / start / milestone completion / custom).
  • Payment Terms — custom prose (accepted methods, late fees).

Customize the email customers receive when you send a bid:

  • Subject template with tokens.
  • Body template with tokens — common ones:
    • {projectName}, {clientName}, {validUntil}, {companyName}, {totalCost}, {bidNumber}.
  • Test send to your own address before going live.

Customize what the AI bidding chat produces:

  • Project Milestones — custom workflow tasks with skill levels, equipment requirements, and hour-scaling formulas.
  • Project Size Definitions — criteria that classify a bid as small / medium / large scope (drives which milestones apply).
  • Toggle whether custom milestones are included in AI bid generation.

  • Subdomain, template, hero, about, services, gallery, contact, quote form.
  • Content Policy agreement (required before publishing).
  • Publish / unpublish / preview actions.
Business Plus only Web App
  • QuickBooks — OAuth connect/disconnect, sync toggle, last sync timestamp. Full walkthrough: QuickBooks Integration.

Owner-only. Switch plans, update payment method, see invoice history. Upgrades take effect immediately; downgrades at the next billing cycle.

Owner-only, permanent. Deletes your company and all associated data: customers, bids, projects, timecards, hauls, website. This is final — we can’t recover a deleted company.
